A business eSIM rollout works best when each employee has a compatible phone, a plan covering the full itinerary and clear setup instructions. Before purchasing, record the destinations, travel dates, device models and expected data use. Test essential work access and agree who to contact if connectivity fails.

1. Create a trip and device list

For each traveller, note their destination countries, departure and return dates, exact phone model, whether the phone is company-owned and whether a laptop needs internet access. Include stopovers where mobile data will be useful. Do not assume that every device in the same product family supports eSIM.

  • Check the exact model and regional variant against the device compatibility guidance.
  • Confirm the phone is unlocked for use with another provider.
  • Ask your IT team whether device-management settings permit an additional mobile plan.
  • Keep installation codes and QR images private; share them only with the assigned traveller.

2. Match the plan to the work

Someone using maps and messaging has different needs from a colleague sharing mobile data with a laptop. Review previous usage where available and use the travel data calculator as a planning aid. Allow for changes in the itinerary and unexpected downloads.

Compare the current destination plans. For several countries, check a regional or global eSIM against every stop. Confirm validity, supported networks, hotspot terms and any fair-use policy. A global label is not a promise of coverage everywhere.

3. Give each traveller a short setup brief

Explain which line should supply mobile data and which line should retain their work number. Disable data roaming on the home line and automatic data switching if the intention is to use only the travel eSIM for data. Follow the purchased plan instructions for roaming on the eSIM itself.

Keeping a work number active does not make calls, messages or voicemail free abroad. Check the existing provider terms. Also check when plan validity starts before asking employees to install: some plans start on installation or activation, while others begin on first supported network connection.

4. Test access and prepare a fallback

Follow your organisation's rules for device security, authentication and VPN use. Check that employees can access their work accounts before departure, and test mobile connectivity when the plan can validly connect. Keep essential travel documents available offline. For a critical meeting, agree an alternative connection rather than relying on one mobile network.

5. Record the result after the trip

Keep the order reference and the organisation's normal expense records. Ask travellers whether the allowance, coverage and setup instructions were suitable. Use that feedback to choose the next plan; do not assume every employee needs the same package.
